A CRM that updates itself

The hardest problem with every CRM in the world is the same one: the data is only useful if humans keep it up to date, and humans hate updating it. AI fixes the half of that problem that's automatable: logging the call, summarising the email thread, scoring the lead, drafting the next follow-up.

We do this two ways: an AI layer over your existing CRM (Salesforce, HubSpot, Pipedrive, Zoho), or a bespoke CRM built from scratch when your sales process doesn't fit any of those.

What it actually does

Out of the box: every customer interaction (email, call, meeting, voice note from the field) gets automatically logged against the right contact and deal, with a structured summary of what was discussed and what comes next. No more reps typing meeting notes into Salesforce at 10pm Sunday.

Layered on top: lead scoring that goes beyond firmographic fit and looks at the actual content of conversations. Auto-drafted follow-ups in the rep's voice, ready to send with one click. Risk surfacing for stuck deals that haven't moved in too long. Forecasts that update from real activity, not aspirational manual entries.

Underneath all that: clean integration with the rest of your stack (calendar, email, voice, accounting, ticketing) so the CRM becomes the single record of truth instead of one of seven systems telling different stories.

How it works

The shape of a typical build. Yours will vary on the specifics, but the pattern is consistent.

Step 1

Audit current CRM and data hygiene

We look at how data actually flows through your existing CRM: what's filled in vs. what isn't, where reps have given up, what's duplicated. That tells us what to automate first.

Step 2

Choose: extend or replace

If your existing CRM is mostly working and reps are using it, we extend it. If it's a graveyard nobody loves, we build bespoke. The audit makes this call honestly; vendors love new builds, but extension is usually faster and cheaper.

Step 3

Wire up auto-logging

Email integration via Microsoft 365 or Gmail. Calendar integration via Google or Outlook. Voice integration if you've got call recording. Each interaction gets parsed, classified, and logged to the right record automatically.

Step 4

Add the intelligence layer

Lead scoring, follow-up drafting, deal-risk flagging. Each feature has a defined evaluation harness so we can measure whether it's actually useful before shipping. Features that don't earn their keep get cut.

Step 5

Pilot with a small team

First two weeks: one or two reps using the new layer with the rest of the team unchanged. We measure time-saved per rep and adoption. Then roll out to the wider team.

This fits if you...

  • Have a sales or success team where rep time is consistently lost to data entry, meeting notes, and follow-up writing.
  • Run a CRM that's only partially populated because reps have stopped maintaining it.
  • Need lead scoring or deal-risk insights that your current CRM doesn't give you.
  • Have call recordings, email threads, or other unstructured customer data that nobody's mining for signal.

This isn't a fit if...

  • You're a tiny team (under ~3 reps) and the CRM cost barely justifies itself today; the AI layer won't either.
  • Your current CRM is so clean and well-maintained that there's no friction to remove. Some teams genuinely have this; we'll tell you if you do.
  • You're chasing AI features for the sake of having them. The justification has to be 'reps get this much time back' or 'we close this many more deals'. Hand-waving doesn't pay back.
